1. About this policy

Tara ERP is an internal business portal operated by TARA PAINTS PRIVATE LIMITED (“Tara Paints”, “we”, “us” or “our”). Authorised personnel use the portal to manage company operations and business relationships.

This policy explains how we collect, use, store and share personal information through the portal and its connected communication services, including Tara Vendor Notifications, our WhatsApp integration.

It applies to portal users and individuals whose information is processed through our business activities, including employees, customer and vendor contacts, service providers and delivery contacts.

2. Information we collect

Depending on your relationship with us and the services used, we may process:

• Names, business contact details, addresses and organisational information.
• User-account details, assigned access permissions and authentication records.
• Business enquiries, correspondence, transaction references and supporting documents.
• Relevant tax, financial, identity or compliance information where required for a business activity.
• Communication records, including notification content, recipient details, delivery status and timestamps.
• Technical information such as IP addresses, browser information, session activity and security logs.

Information may be provided directly by you, entered by authorised personnel or received from connected business systems. We do not collect every category from every individual.

3. How we use information

We use information to operate the portal, administer accounts, manage business relationships, process operational activities, send relevant communications and maintain business records.

We also use relevant information to secure accounts, troubleshoot problems, prevent misuse, respond to requests and meet applicable contractual or legal obligations.

4. Access and sharing

Information is accessible to authorised personnel according to their responsibilities and assigned permissions.

We may share relevant information with service providers that support hosting, communications, maintenance and other necessary functions. These include email and SMS delivery providers and Meta/WhatsApp when the WhatsApp integration is used.

Information may also be shared with relevant business counterparties to carry out an authorised transaction, or where required by law or necessary to address a security incident or dispute.

Service providers may process information outside your location, depending on their service arrangements. Third-party services also have their own applicable privacy policies.

5. WhatsApp communications — Tara Vendor Notifications

Tara Vendor Notifications is part of Tara ERP and uses the WhatsApp Business Platform provided by Meta for relevant business communications, including vendor enquiries and procurement-related notifications.

When this service is used, we process the recipient’s telephone number, relevant business identifiers and the information included in the notification. The recipient and message information is shared with Meta/WhatsApp to facilitate delivery.

We retain relevant notification records, message references, delivery attempts, timestamps and available delivery/read status information for business tracking and troubleshooting.

The current ERP integration handles outgoing notifications and their delivery updates. It does not save incoming WhatsApp reply content or media as an ERP chat inbox.

To update your contact details or request that future WhatsApp notifications stop, contact admin@tarapaints.com or your usual Tara Paints business contact. Please use these channels rather than relying on a WhatsApp reply being processed automatically.

Meta/WhatsApp handles information under its applicable terms and privacy policies. Deletion from Tara ERP does not automatically remove copies held by message recipients or independently operated services.

6. Cookies and security

The portal uses necessary cookies and browser storage for authentication, session continuity, security and interface preferences. Disabling necessary cookies may prevent some functions from working.

We use safeguards appropriate to the information processed, including authentication, access controls, protected document access and protection of selected sensitive information. No system can guarantee absolute security.

Please keep your login credentials confidential and report suspected unauthorised access to us.

7. Data retention

We retain information according to its purpose and relevant operational, contractual, accounting, legal and security requirements.

Retention periods vary by record type. Closing an account or ending a business relationship does not necessarily remove records that must be retained for these purposes.

Information that is no longer required will be considered for deletion or anonymisation through our retention and request-handling processes. Backup copies may remain until their applicable retention cycle ends.

8. Your requests and choices

You may contact admin@tarapaints.com to request access to, correction of or deletion of your personal information, or to update your communication preferences.

Include your name, relevant business relationship and sufficient information to identify the records concerned. Do not include passwords, OTPs or unnecessary sensitive documents.

We may verify your identity or authority before acting. Requests will be assessed under applicable requirements, and we will explain any necessary retention or other limitations.

9. Policy updates and contact

We may update this policy when our services or information-handling practices change. The latest version and its last-updated date will be displayed on this page.
